Kits4Kids Group Sdn. Bhd. is committed to maintaining the confidentiality of client personal information and undertakes not to divulge any information pertaining to client personal information to any third parties without prior consent in written form from the client.
Kits4Kids Group Sdn. Bhd. collects and holds a range of personal information about all of its clients which includes personal details, Academic records, personal welfare information, program costs, Passport and Visa details.
Kits4Kids Group Sdn. Bhd. will take all reasonable steps to ensure that personal information collected is accurate, relevant, up-to-date, complete, and not misleading.
Kits4Kids Group Sdn. Bhd. will ensure only authorized staff to gain entry into record keeping files and will take all reasonable steps to protect information from loss, misuse, unauthorized access, modification and disclosure.
Kits4Kids Group Sdn. Bhd. will maintain that No information will be given to any external agency without the student’s express consent unless the provision of such information is required by law.
STUDENT/TRAINEE CONTRACT
Each student/trainee must sign a Standard Contract prior to commencing the course. This is a legally binding contract between Kits4Kids Group Sdn. Bhd. and the student/trainee/client which will provide the full cost of tuition, clear definitions of course details, refund and dispute mechanism.
1. In the event of a pending investigation of staff or student/trainee/client initiated by a court of law or relevant agency, Kits4Kids Group Sdn. Bhd. will have to suspend or stop our services. This is protect both the plaintiff or defendant in the case where mediation or legal courses may take place. While the court or/and legal agencies may not have direct purview, it is in the reasonable nature to stop or/and suspend any services for the protection of each parties.
Based on the contract, payment should be paid before start or program or “by the 8th of every month” but in the event services are rendered before payment, Kits4Kids Group Sdn.Bhd. is allowed to stop/suspend services without prejudices and not liable for further claims due to non payment.
TRANSFER/WITHDRAWAL POLICY
Deemed Withdrawal (Transfer):
A Student/Trainee/Client who transfers from the programme to another programme with Kits4Kids Group Sdn. Bhd. shall be deemed to have withdrawn from the programme and the provisions of “Withdrawal Without Cause and Refunds” shall apply.
COURSE FEE PAYMENT
Course fee payment will be made by the student/trainee/client with the amount of not exceeding 2 (two) months installment fees.
Course fee is payable 14 days prior to commencement of the class or immediately upon receipt of invoice, whichever is sooner.
A late payment fee of 5% is chargeable.
Students/trainees/clients are advised to refer to their Standard Student/Trainee Contract which will provide details of monthly payment scheme. Reminder will also be sent by email.

2. Insurance MYR 50 /year
No replacement classes will be made should the student/trainee/client be absent from or during public holidays.
Kits4Kids Group Sdn. Bhd. reserves the right to refuse admission of students/trainees/clients whose fees remain unpaid for 1 month.
ISSUANCE OF RECEIPT
Kits4Kids Group Sdn. Bhd. will issue a receipt with the breakdown of payment to every payment made. The receipt will be issued at the same time of the payment based on financial cycle.
TEACHER/TRAINER – STUDENT/TRAINEE RATIO
Kits4Kids Group Sdn. Bhd. adopts different ratio depending on the programme:
- Toddler, Nursery and Kinders Programme Early Intervention - up to 6 - 10 :1 - Junior / CARE Programme - up to 10:1
MODE OF PAYMENTS
The student/trainee/client can make their payments by:
1. Telegraph Transfer (TT)
2. Bank Draft/Cheque/Duit: Payable to Kits4Kids Group Sdn Bhd.
3. GIRO: Deduction will be made by 14th day of the month.

ACCURACY OF CHARGING
Kits4Kids Group Sdn. Bhd. is committed to provide accurate charging of all fees. List of the breakdown of all Tuition Fees and Non-Course Fees can be found in the Standard Student/Trainee Contract, payment schedules and our communication materials.
PAYMENT, REFUND, TRANSFER, WITHDRAWAL RELATED PROCEDURES
Payment
Course payment must be made at the latest 1 week prior to commencement of the course.
Refund
Withdrawal for Cause:
In the event that:
Kits4Kids Group Sdn. Bhd. is unable to commence the Course on the Commencement Date;
Kits4Kids Group Sdn. Bhd. terminates the Course for any reason prior to the completion of the Course; or
Kits4Kids Group Sdn. Bhd. is in material breach of its obligation under the Student/Trainee Contract Agreement
the entire amount of the Tuition Fees (less any applicable bank administrative charges) are fully refundable within 60 working days after receiving the Student/trainee/client notice of withdrawal.
Withdrawal Without Cause and Refunds:
Where the Student/Trainee/Client withdraws from the Course for any reason other than those set out in the Clause mentioned above, K4K shall as soon as practicable after receiving the Student’s written notice of withdrawal (and in any event no more than thirty (30) working days after receiving such notice) refund to the Student the entire amount (100%) of the fees (less all such deductions which K4K is entitled to make in accordance with Clause 2) together with the following sums (less any applicable bank administrative charges properly paid/payable under Clause 3):

All requests must be submitted in written form and the process will start from the date stated on the form of 2 months’ in advance.
MODES OF NOTIFICATION IN THE EVENT OF CHANGES
Should there be any changes pertaining to the course, students will be notified fourteen (14) days in advance by either of the following:

Any changes in dates, times, venues, teacher/trainer and fees may occur due to unforeseen circumstances. However, Kits4Kids Group Sdn. Bhd. will ensure that every student/trainee/client will be contacted via phone and email. A notification will also be posted at the main entrance of the premises for awareness. Should there be any changes in course requirements, fees or, centre administration, the students/trainees/clients will be notified through letters, memo handouts and notification will also be posted on the notice board.
During the course of study, disagreement may occur at any given time. The cause of this may be various. K4K recognizes that problems may happen during a teaching-learning process or non-teaching-learning related matters. In order to provide a high quality services to all, therefore, students/trainees/clients are encouraged to raise any issues pertaining to either their courses or well-being at an early stage so that K4K can assist them in any way it can. Minor grievance should be resolved within one day. Should this problem be unresolved, students/trainees/clients are advised to lodge in a Written Complaint to Kits4Kids Group Sdn. Bhd. The flowchart of Complaint / Grievance Procedure will be as follows stated.
DETAILS OF THE PROCEDURES AND ANY IMPLICATIONS OF STUDENTS WITHDRAWAL FROM PROGRAMME, NON-ATTENDANCE, TERMINATION OF PROGRAMME BY K4K AND REFUNDS POLICY
If the student/trainee/client fails to achieve a rate of 80% in attendance, a warning letter will be sent to the students’ parents or guardian to notify them of their behaviours. If the student/trainee/client continues to be absent from class, he/she will be counselled. In the event that parents/guardians are not satisfied with the resolution of their complaints by the school, they can refer their complaints to the relevant bodies.
Families with combined income of MYR3000 and below per month are eligible to apply for the Educational Sponsorship Programme for their children. Eligibility of each child will be reviewed on an annual basis.
HEALTH AND MEDICATION INFORMATION
Daily Health
Keep the child at home if he/she suffers from any of the following illnesses :
- High fever (37.3 degrees centigrade and above)
- Infectious conjunctivitis (sore eye)
- Diarrhea
- Vomiting
- Infectious diseases such as mumps, measles, chicken pox etc.
- Hand-foot-mouth disease
Once client recovers from a contagious illness, you will have to produce a medical certificate to confirm that client is ready to go back for services. This regulation is necessary to help client to recover faster and protect the well-being of others.. However, if the client is missing for three consecutive days, the school may render automatic termination.
Medication
If client is on medication, it is advisable that you inform our staff of it. This allows the staff to observe any side-effects that the client may experience after taking the medication at home. No medication will be administered by K4K.
Allergies
Clients must inform K4K of any allergies. This information will be communicated to the staff so that they are aware of the allergies (if any) of each client.
SAFETY MEASURES
Jewellery
For safety reasons, clients are not allowed to wear any forms of jewellery at our premises.
Sign in and Sign out
All clients attendance will be monitored and sign in/out by staff.
Authorized Guardian
Parents need to inform K4K should there be someone picking the client up other than the authorized guardians stated in the enrolment form. Our staff will contact you to verify.
Field Trips
Authorization must be provided before any commencement if organised.
PARTNERSHIP WITH PARENTS
IPPC 3.0 Approach
Parent-Teacher Conference There will be a minimum twice a year Parent-Teacher conference tentatively.
Portfolio and Progress Report (PP) A termly portfolio and progress report will be given to know overall development and progress.
Individualized Educational Plan (IEP)
IEP meeting will be arranged with the parents on the new goals set for the child.
Weekly Communication Book There will be a weekly communication book for the children based on the progress of the child.
Workshops/ Talks There may be workshops or talks held on a quarterly basis in a year. Details of the talks or workshops will be either posted on the website.
